Job Description

We are looking to hire an experienced and energetic Executive Administrative Assistant to join the Office of the Chief Digital Officer in CSE. We are looking for a passionate, motivated team player, with a can-do attitude. The candidate must have superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests with little to no guidance and without having to know the total picture. A high level of discretion in handling confidential information, professionalism in dealing with senior professionals inside and outside the company. The candidate needs to be able to be comfortable with working out in front of the team as well as behind the scenes. You will also develop a deep knowledge of the broad business group and act as a cross-group information resource. The Executive Business Administrator will report directly to the Chief Digital Officer.

* Manage and prioritize a very complex calendars with strong attention to accuracy, timeliness, conflict resolution, and alignment to priorities and commitments
* Executive-level interfacing within the organization and across Microsoft, as well as outward facing contact with senior customers and partners
* Make time management decisions on behalf of the CDO to ensure meeting requests meet with time management priorities and performance objectives
* Act as representative for the CDO to a wide spectrum of Microsoft employees, as well as executives and employees from outside organizations.
* Assist with designing and implementing the Rhythm of the Business processes
* Manage domestic and international travel scheduling end-to-end including the proactive anticipation of logistics rapid change in itineraries as well as manage all ground transportation
* Leading and partnering up with the CSE Business Managers, admins, and LT members on projects
* Proactively plan and manage logistics for team meetings such as All Hands, staff meetings, morale events, team offsites and Holiday Party
* In addition to supporting the CVP, you will also support the Senior Director of Business Management, responsibilities include, but are not limited to; daily calendar management, expense report submissions, and travel coordination.
* Assist with streamlining policies across the organization
* Ability to organize and lead a large admin community
* Submitting and reconciling expense reports for the CDO to ensure timely processing
* Partnering with Finance, HR, and Recruiting
* Procurement of goods and services
* 5+ years of demonstrated relevant work experience in a fast-paced and complex environment
* Build and maintain effective working relationships and accommodate diverse working styles
* Ability to adapt to daily challenges and rapid changes
* High level of effective interpersonal skills and excellent customer service.
* Superior organizational skills
* Analytical thinking and keen eye for detail
* Knowledge and proficiency with Microsoft products and internal systems including Outlook, Microsoft Office, Windows, MSS, HeadTrax, MyOrder, MSExpense preferred
* The ability to self-direct and work independently, deal with ambiguity, and act with appropriate urgency and flexibility with a positive attitude
* Must be able to maintain confidentiality and use discretion and judgment
* Ability to see the big picture
* Possess a good sense of humor and an ability to connect with people inside and outside the team
