The Gilead Business Services center in Raleighs Research Triangle region will be home to some of the companys critical shared service teams in North America, including Information Technology, Global Financial Solutions, HR Operations and Procurement Services Desk. These functions provide the necessary support to ensure Gileads business runs effectively and efficiently. The center will also be a catalyst for standardization of processes, digital transformation and technology optimization.

Job Description

The Senior Manager for Invoice Operations reports to the Director North America Purchase to Pay (PTP) Operations with responsibility for Invoice Operations, compliance and month end close.

The focus of the role is to lead, manage and develop the North America Invoice Operations team aligned to best practice, improve invoice processing efficiency through increased use of technology enablers to improve straight through processing, address continuous improvement opportunities and optimize P-card adoption. Ensure common processes for invoice processing worldwide unless dictated by country statutory requirements.

The successful candidate will be expected to be highly self-motivated and innovative, with proven experience in successfully supporting and developing a best in class invoice operations program, providing best practice service delivery and actionable business insights through data and analytics. Be an advocate to digitalize and automate invoice operations through, RPA, AI and other emerging technologies to create capacity, increase efficiency, quality and control of our processes.

Key Responsibilities include:

* Mange end to end Invoice Operations

* Manage a team comprised of Gilead and third-party contractors, based on-site, and off-shore.

* PTP accounting and month end close

* Maintain process integrity, internal and SOX controls, and ensure compliance with the Controllers Manual and all applicable laws and regulations.

* Accountability for service delivery against agreed and evolving KPIs and service partnership agreement

* Effectively manage relationships with business functions and key stakeholders, leading two-way communication and collaboration regarding functional performance, continuous improvement and opportunities for operational efficiencies.

* Analyze current operational performance (inputs and outputs) to identify process gaps, opportunities for continuous improvement, and compliance integrity (as appropriate). Improvement opportunities should align with best practices and comply with Gilead standards.

* Support strategic and cross functional projects.

* Act as the point of contact to resolve Invoice processing and Operations issues and escalations with business partners

* Oversight for delivery of Invoice Operations and PO admin training to employees and key stakeholders

* Collaborate and partner with cross functional business partners and International colleagues to identify and implement options to improve the quality of service delivery from a global perspective and pursue opportunities for global process delivery in line with best practice.

* Other duties and special projects, as assigned

Basic Qualifications:

* High School Diploma, and 12 years experience in Finance and Shared Services, OR Bachelors Degree in Accounting or Finance, and 8 years experience OR masters degree and 6 years experience in Finance and Shared Services.

* Minimum of 6 years knowledge and experience of PTP and Invoice Operations best practice programs in a multi-national corporation.

* Demonstrated understanding of PTP best practices and emerging technologies required.

* Knowledge of US GAAP and SOX Controls required.

* Extensive knowledge with SAP or best practice ERP systems is required

* Advanced proficiency with Microsoft tools (Excel, Outlook, Word, Visio, PowerPoint).

Preferred Qualifications and Experience:

* Experience in biotech or pharmaceuticals industry a plus.

* Experience working in a global Finance organization
